Why Do Email Signatures Matter? - Ask EZ

Q: Why do email signatures matter?

Imagine you’re working through your inbox when you come across an email that catches your attention.

You scroll down to the bottom of the message to learn more about the sender and… the only thing at the end is the sender’s name.

No email signature, no contact details, just a barren wasteland of missed opportunity.

It may seem like a small detail, but that space at the bottom of your emails holds a ton of untapped potential.

To find out why you absolutely should be using a professional email signature, keep watching.

Why Is Your Email Signature So Important?

Here are a few big reasons:

1. It makes you look professional

Having an email signature is the digital equivalent of having a business card or a sign on your building. It tells people you have a legitimate business and makes you seem more trustworthy.

Plus, in a world full of spam, bots, and AI, a professional email signature shows that you’re a real person.

Pro tip: even if you’re sending an email blast, try putting your email signature at the end. It will make your email marketing seem more personal.

2. It lists your contact information

Your email signature should include your contact details like your phone number, address, website, and social media links. If you want people to buy from you, you should make it as easy as possible for them to contact you.

Even if you’re emailing existing customers, don’t underestimate the importance of your signature. I email customers I’ve worked with for 20 years, but that doesn’t mean I know their phone number or mailing address off the top of my head. Having it right in their email signature saves me the time and hassle of looking it up.

3. It’s free brand recognition

A big part of brand awareness is just getting your name in front of people again and again. What better way to do that than putting your business name and logo on every single email you send?

It’s like having a mini billboard that reinforces your brand every time you hit “Send.” And when you count up the hundreds and thousands of emails you send, that’s a lot of free brand awareness.

4. You Can Add Links & Sales Messaging

Finally–and probably most importantly– your email signature is an opportunity to include quick links and sales messaging.

The most obvious of which is a link to your website. It’s a no-brainer way to get more high-quality traffic to your site.

Or you can add things like:

  • Social media links
  • Email newsletter signup
  • (Or my personal favorite) A calendar link so people can book meetings directly on your calendar

You can also include short sales messages, like announcements about an upcoming event, a recent award, or even a banner with a special promotion.
